Personal information is data that can be used to identify or contact a single person. It does not included data which has been anonymised. There are also “special categories” of data, which are more sensitive personal data – these are provided a higher level of protection.
What Information does the Company Collect and How?
Petrolink will collect a range of information about you and this includes:
- Your name, address and contact details, including email address and telephone number;
- Details of your educational history, qualifications, skills, experience and employment history;
- Information from interviews, either face to face, by telephone or any other electronic means used for this purpose;
- Information about your current level of remuneration, including benefits entitlements;
- Information about your entitlement to work in the Isle of Man and United Kingdom; and
- Equal opportunities monitoring information, including information about your ethnic origin, sexual orientation, health and religion or belief.
We may collect this information in a variety of ways – such as in application forms or CVs, obtained from your passport or other identity documents, or disclosed by you during interviews or other methods of assessment.
We may also collect personal data about you from third parties, such as references supplied by former employers. We will seek information from third parties only once a job offer has been made to you.
Data will be stored in a range of different places, including on your application record, in our HR management systems and our email system.
Petrolink collects and processes your data for a number of purposes and where we have a legal basis to do so.
We may use your personal information for a number of different purposes. In each case, we must have a “legal ground” to do so. We will rely on the following legal grounds when we process your personal information:
- We have a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment, and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims.
When processing special categories of personal information we require to have a further justification for carrying out such processing. Such justifications include (but are not limited to):
- carrying out our legal obligations as a prospective employer;
- complying with the law; and/or
- safeguarding your well-being and/or mental health.
For example, Petrolink may process information about whether or not applicants are disabled so that we can make reasonable adjustments for candidates who have a disability. Where we process other special categories or data such as information about ethnic origin, sexual orientation, health or religion or belief, this is for equal opportunities monitoring purposes. Our processing of these types of data will be carried out to ensure you or us can meet our obligations or exercise our rights under law related to employment or (only where applicable) to enable us to establish, exercise or defend legal claims.
We do not need your consent to use special categories of personal information if it is justified in line with the bases set out in the data protection laws. Where we can obtain your consent, we shall do so.
In the event of an unsuccessful application, we will not use your personal data for any purpose other than the recruitment process of which are you a part.
